About the role:
This is a great opportunity for an PA who is looking for career progression and who wants to be part of a wider PA community.
You’ll provide proactive, efficient administration and organisational support to the Chief Marketing Officer within the No7 Beauty Company, in addition to supporting a range of activities and key meetings across the Marketing function for the Marketing Leadership Team. The role is fundamental as it creates the space and time for our leaders to focus on our people and deliver for the business.
Key responsibilities include:
• Be the first point of contact for stakeholders across the business, ensuring that all internal and external stakeholders are dealt with confidently and professionally
• Complex diary management and meeting organisation
• Manage a very high volume of meeting requests ensuring meetings are arranged according to business priorities, adapting calendars to accommodate urgent and last-minute requests
• Organise, setup and communicate key functional team meetings
• Collate agendas, take minutes, and follow up on actions, in leadership team meetings and key creative forums
• Book national and international travel and accommodation arrangements, delivering the most cost effective and efficient solution
• Expense management - tracking and accurate / on time submission
• Support confidential business processes such as Performance, People and Payroll
• System changes such as onboarding and leavers, salary changes, annual leave tracking
• General admin support: employment contract changes, drafting and reviewing letters
• To create and maintain an effective personnel filing system utilising Employee Electronic Files in People Admin where appropriate.
• Build, manage and maintain distribution lists and organisational charts
• Resolve basic IT issues and raise to the Help Desk as required
• Work collaboratively with the PA population to build effective relationships with them in order to deliver high quality support. May be called upon to provide cover for holidays, sickness and other absence.
What you’ll need to have:
• Minimum of 5 to 10 years’ experience as a Personal or Exec Assistant
• First class organisational and diary management skills, with a love for structure
• High levels of flexibility and adaptability
With the ability to:
• Multitask, prioritise an everchanging workload and work under pressure
• Solve problems and work autonomously
• Communicate effectively with senior leaders and executives
• Build positive relationships at all levels across the business and with external contacts
• Learn new systems and operate them efficiently
• Experience using the full Microsoft Office suite
• Willingness to learn and manage change / challenge yourself
• A personable team player willing to go the extra mile to support others in the organisation
It would be great if you also have:
• Previous experience or knowledge of Marketing would be desirable, but not essential
