PA and Team Administrator – IT Technology Services

The primary purpose of this role is to provide a high level of support to the Technology Services, Senior Director, International Service Delivery Director and ad hoc support to their respective team members.
To deliver all requirements quickly and accurately; be proactive and adaptable to continuous changing requests. Operate with the highest level of integrity at all times, treat all information in a confidential manner and act with the highest level of professionalism.

About the opportunity

The Technology Services team work very closely with key stakeholders across the IT function. They play a key role in the provision of Infrastructure, Workplace Technology and Service Delivery for IT Capabilities. This covers strategic and operational support which requires constant interactions with many Business IT teams and strategic partners. It is therefore essential that the job holder has good communication skills and is sensitive to different cultures. An understanding of how to operate within a complex matrix organisation is also needed for the role.

The Technology Services Senior Director is a senior leader in WBA IT, is part of the International IT leadership team and reports to the VP Technology Services, with a dotted line reporting to the International CIO. The role exists to support the development and implementation of IT systems which will enable the division to achieve its strategic objectives. The Technology Services Senior Director has overall responsibility for Technology Services in the International Region, and is responsible for delivering IT budget planning, program delivery and support through the team of IT professionals within the Division and with support from other corporate IT functions.

Key responsibilities:

• Support the leaders with effective communication across the Technology Services team
• To support on effective engagement of team members and partners from leadership
• Coordinate calendar and meetings, regularly taking into account changes and handling such changes in a calm and confident manner. Organise regular internal meetings, including circulating agendas, ensuring meeting room preparation, VC connection (if applicable)
• Book all travel for the Leaders – including hotels, flights, taxis, visas
• Manage expenses for the Leaders, using the internal system, on a monthly basis, ensuring the monthly deadline is met
• Develop and update holiday and absence records, keep updated the contact lists for both the Leaders
• Utilise a high level of discretion as required to help the Leaders with their inbox.
• Support the Leaders with the creation of presentations and documents
• Organisation of induction programmes for new starters as well as checking equipment is delivered on initial day(s)
• Work closely with other PA’s as necessary

About you

• Extensive PA / admin experience supporting a Director and/or team of a global, multinational organisation
• Experience of organising travel itineraries and meetings
• Ability to work to deadlines in a highly demanding environment
• Excellent organisational skills and the ability to prioritise
• Impeccable time management skills
• Self-motivated, committed and able to work well independently
• Strong work ethic, with a flexible and dedicated approach
• Exemplary interpersonal and cultural awareness skills
• Trustworthy
• Professionalism in appearance & attitude
• Able to adapt quickly to changes, handle multiple tasks, and prioritize

SPECIFIC SKILLS

• Fluency in English. Knowledge of another European language would be beneficial.
• Mastery knowledge with MS Office (Excel, Word, PowerPoint, E-mail)


Occasional UK travel to meet the requirements of the role
