This role will support the VM & Shopper team with the ongoing maintenance and operations of the retail estate across all retail stores; Boots, John Lewis, Flagships, Independents etc.

A key project will be to update databases, drive efficiencies with new processes for our spare parts guides, improve our VM guides, and generally streamline our operational process.

You will be largely responsible for seamlessly supporting the operational roll-out of VM changeovers in store, new/refurbished counters, and ensuring all allocations & databases are kept up to date regularly.

You will be the key contact for our maintenance agency partners, driving the quality of the service provided and ensuring that services rendered are in line with expectations.

Your other responsibilities include supporting the VM team with any projects, raising purchase order requests and ad hoc admin tasks such as expenses, booking travel/ hotels and arranging deliveries. Plus managing the brief and printing of any adhoc promotions in stores.

About the opportunity:

• Maintenance (50%): Lead the set-up and manage the ongoing maintenance contract with our agency partners, driving the service levels. Maintain VM store databases & ensure all stores have spare parts as needed
• In-store support & key project delivery (20%): Work closely with VM&S team to manage all operations for counters/new sites. Manage all snagging, installation reviews & deliveries
• Manage adhoc promotions in stores with briefing, allocations printing and delivery
• Communication (20%): Act as the main point of contact for all maintenance and operational VM queries from the field and lead field team meetings, updates & communication
• Budget & Admin (10%): Manage new supplier set ups, PO raising, POD’s, manage all databases on Excel/supplier databases/Onenote & sharepoint. Manage all filing systems and data. Assist the VM&S team where needed

About you:

• Ideally 1 year work experience in an admin/operational role with retail experience desired
• Good skills with Microsoft Office Suite, with Excellent Excel skills
• Project management, multi-tasking, high attention to detail, ability to multitask
• Able to identify and exploit all opportunities in a dynamic multi-channel, multi-category business. Thrives on measurable objectives and tangible results
• Ability to flex communication style to gain best results, informing and motivating stores teams through clear and timely communications and strong cross-functional relationships
• Builds effective peer relationships both within team and cross-functionally. Supports where necessary even if out with job specification. Is a positive promoter of VM and the wider business.
